Press Office: YES. Post Office: NO, thanks!

We open our blog with a subject that’s one of the great classics – the Press Office.

This activity is such a central element in the PR world that it’s often spoken of in the same breath, as if PR and Press Office meant the same thing.

In industry jargon, the work of the Press Office involves the so-called “Earned media”, as opposed to the “Paid media”, which is the domain of advertising.  

But what does “Earned media” mean? This expression describes all the opportunities for greater brand visibility generated by the media’s information and awareness-raising activities, supported only by our work, without financial investment.

I’m very happy to be associated with activity that creates value for clients, generates profits and is expressed as a benefit!

So far, so good.  

But what does the Press Office actually do?

It may seem obvious, but maybe it’s not so straightforward. Even now we’re often asked to quantify an offer of collaboration simply on the basis of the number of press releases produced.   

It’s a common misconception that this is how the Press Office works – we put together a press release with all the information we want to get across, whip up a blizzard with a journalist mailshot, and sometimes even some telephone recalls, then we sit back and await the prodigious harvest.

Described like this it seems like a routine operation repeated constantly to raise awareness on the desired topics.

If there ever was a time when things worked like this, when all we had to do was crank out a standard release and sort it – just like in a post office – nowadays all that is anachronistic and out of the question.

On the current media scenario, with a limited range of publications and journalists who are inundated with emails (which most treat as spam), juggling print, web and social media, do we really think a standard communication will be opened, let alone read? Very unlikely.

So, it’s worth lining up a few ideas to clarify our thoughts, resetting perceptions and debunking some myths about the modern-day Press Office.

1) News in search of a reader

Media publish news, they are interested in things happening now, they are driven by the need to attract their readers’ interest and attention.  

The mission of PR professionals, then, is to transform the information companies want to communicate into news. In short, knowing how to turn it into news, without indulging into self-referential content distributed with a request for publication.  

Recognising the central role of the media – and as a result the reader – sometimes means being ready to take a step backwards, putting ego to the side, in order to be featured in quality editorials.

2) Media rhythms

With the coming of the Internet, real time communications burn up news in just a few moments, published it on sites and reposting it on the social media. It’s clear, then, that it’s no longer enough to spread a standard release to an extended mailing list of sites, newspapers, weeklies, monthlies and so on.  

Every medium has its rhythms and deadlines, and those working over longer periods, like weeklies and monthlies must inevitably offer their readers not so much breaking news in the strictest sense, but articles about trends and behaviour, points of view, analyses and exclusive features.

For greater visibility we have to plan in advance a tailored approach for each media that takes deadlines and priorities into account with clarity, skill and creativity.

3) Strategies and planning

Competition among the media is fierce. Appearing on one title often means giving up on others, so the choice of who to prioritise or provide privileged access to first must be determined by strategic concept based on audience and objectives.

As a result, being able to master all this is crucial for a modern Press Office to work efficiently and effectively.

Maximising the visibility of content means being able to integrate the right mix of traditional and digital media, combining authoritativeness with wide-ranging relevance, reputation and reach.

4) The right contacts – and more

Another widespread belief is that a PR agency’s effectiveness is directly proportional to its network of “friendly” journalists ready to publish on the basis of a privileged relationship.  

It’s clear that, as in all sectors, personal relationships pay dividends. Not for demanding favours but to attract the attention being recognised as professionals and credible sources of content. A diary stuffed with the right names used to be the mark of a successful PR specialist, but nowadays a healthy contact list is just a good start.  

5) Knowing how the media work

What makes the difference today is knowledge that is constantly updated by the complex media ecosystem. For example, what subjects a publication handles, how it is structured (the  timetable for the relevant pages and inserts), who writes in it, and about what, what the production times are (a monthly works with a long-term vision, 3-4 months in advance of the publication date) and what are good or bad days to contact media (depending on publication deadlines and internal timetables). These are just a few things to take into account to achieve success as a modern PR professional.

Of course, it’s vital that you read the news every day! It’s also important to follow journalists on their social media profiles, which have themselves become news outlets and showcases for personal branding.  

In this way we can target our content offer, responding to individual journalists’ specific interests and remaining abreast of trends.

6) All made to measure

Doing the work of a PR professional well now increasingly means offering a bespoke service, far removed from indiscriminately launching piles of emails to editorial offices. Now you have to interest a particular journalist or title with specially-designed content.  

The old-school press release, once considered a basic element in all our activities, is dropping out of favour. It often becomes a sort of in-house work tool, a collection of key messages that can act as a starting point for constructing the so-called “media angles”, content expressed to reflect different angles to introduce brands, companies and products in an attractive way to each media.

7) Two-way communications

Few regard the Press Office as a two-way activity, but that is one of the most productive, satisfying aspects of our work – and that’s why these days we prefer to call it Media Relations. It doesn’t just mean producing and offering content to the media, it’s also, and above all, about encouraging flows of inbound opportunities.  

I’m talking about the fact that every company/brand is an expert in the sector it operates in and/or the issues it involves. Good PR technique can make use of this precious knowledge, positioning the company as an authoritative source for journalists in the sector and encouraging them to use it for spontaneous consultation. This gives rise to collaborations and opportunities for visibility that create value for all concerned – the company provides opinions, information and comments, becoming a resource for journalists, one they can call on for articles or in-depth analyses. These virtuous dynamics are built over time, founded on respect, trust and a spirit of collaboration – that’s why those turning to a good Press Office can benefit from its credibility and authoritative position, making use of much more than clippings alone.

8) The value of endorsement

Last but not least, let’s consider the huge value of endorsements generated by a good Press Office. Paying for space to describe yourself (Paid media) or publishing your own content on your own channels (Owned media) are both important in modern communications, demanding great professionalism and special skills. But when others speak well of us (Endorsement), it’s a totally different story! Obtaining free, genuine visibility on the media – dailies, magazines, sites, radio and TV – enhances the company’s reputation and improves the image and positive perception of the brand among the target audience. Validation from third parties is priceless, it truly is “Earned media”!

So, we come to the end of this round-up of the work of a modern Press Office.

Media relations are a complex aspect of the PR business, where the best results are obtained through content, skill and above all capable management. Much more than simply sorting standardized press releases, as if we were a Post Office!

Laura Sanfelici

Her role in ad Mirabilia: Curious by nature, multitasking by vocation, Laura is Senior Account Executive and is in charge of Media&Digital PR, both product and corporate. Determined, organized and always ” switched on”: nothing gets out of her control!

Specialization: Graduated in Literature, Laura speaks English and German.
A fashion, beauty and lifestyle expert, she is familiar with every journalist dealing with these topics. She is also passionate about motors and technology, sectors for which she has worked on several professional projects.

Her Strengths: The ability to cultivate long-term relationships with the press and a special care for client relations are her strengths. She completes every task and always says what she thinks. These qualities make her a safe haven for clients and a guarantee of success in every situation.

Something more about Laura: Born and bred in Milan, she grew up with the healthy values of the past: respect, honesty and sincerity. She’s been economically independent since her university days. She loves doing sports and being outdoors, being with her children and reading crime stories. Even in the family she has “factotum” role with the total responsibility for almost everything, a role that suits her well and that she likes very much!

Her role in ad Mirabilia: Martina is a Junior Account: she mainly deals with press reviews and reports, writing texts and press releases, contacting journalists, supporting the organization of events. Dynamic, precise, curious, she finds motivating to spend every day passing from one project to another, always trying to learn from every situation and from every little mistake.

Specialization: Beverage, fashion, design, green. Martina is happy to work over different sectors, matching many of her own passions. Always ready to learn the secrets of the profession from her colleagues and the most experienced, she has the ambition and the courage to speak her mind when it comes to it. The rest of the time, she trains with dedication to become a pro in a very difficult discipline: listening.

Her Strengths: Martina is very young and has everything to learn, which is why she blushes when she hears the adjective “the best”. On the other hand, she is committed every day to being as precise and organized as possible in everything she does, even when chaos reigns!.

Something more about Martina: She grew up in a small town in the Milanese area, but she has always been in love with Milan, its spirit, its frenetic pace. She has a master’s degree in Communication for Business, Media and Complex Organizations with a specialization in Media Management: hence her interest in everything “social”. In her spare time she loves reading and writing, art and travel. Reading is her “safe place”, in which – like Bastian in The Neverending Story – she has taken refuge since she was a child. She loves different music genres, from edm to Italian singer-songwriters and as soon as she can she goes to live concerts and music festivals.

Carol Verde

Carol Verde

Her role in ad Mirabilia: Carol is Senior Digital PR Specialist, responsible for all digital communication activities within the agency and for clients. She is also in charge of external communication for ad Mirabilia.

Specialization: For Carol, Social Media and Content Marketing can’t do without each other, that’s why she mixes both skills into one great attitude: strategic communication. Food, Design, Tech and Start-up are the sectors she’s most at ease with.

Her Strengths: She’s unbeatable at connecting dots, connecting people, making things happen. She finds the best way to add value to any project by carefully moving through relationships, stakeholders and touchpoints between online and offline. Strategy, planning and execution are on top of her daily “to do list”, always with an eye towards innovation (and tools, which he loves)!

Something more about Carol: 100% Roman, 80% made of coffee, she’s chosen Milan as her new home. In her first years at university (Integrated Public and Business Communication) she became the youngest publicist journalist in the Lazio region aged 22. She then moved on to corporate communication, understanding that she prefers telling rather than reporting stories. In her spare time she practices yoga, reads Rupi Kaur’s poems, and listens to jazz music. She has a dog called Happy and is a contributor for Ninjamarketing.

Michela Brambilla

A smile you can trust

Her role in ad Mirabilia: Not just a PR Team Assistant: Michela an agency’s pillar. She is generous and responsible, with a great versatility. With a perfect mix of wisdom and genuineness, she manages everyday services of the agency and supports the teams in organizing events and producing contents, reports and press reviews. Curious and silent observer, she leaves her mark as she speaks.

Specialization: Her experience started as intern in ad Mirabilia, then she has grown contributing to generate value in marketing and communication activities.
Passionate and enthusiastic, Michela offers her qualified support to our different teams thanks to her ability to focus each need. She is also reliable, skilled and able to contribute with her ideas to the realization of projects – as well as to anticipate solutions to possible problems – enabling an invisible, but highly valuable and efficient, organizational network.

Her Strengths: Proposing ideas “out of the box”, with an acute and fast intelligence for brainstorming activities.
Distinctive trait? Her writing is a perfect balance between form and substance. She is the best calligrapher and has made the beauty in writing a personal form of communication that often integrates in designed activities for customers.

Something more about Michela: Grown up in the Milanese hinterland, she graduated in foreign languages and literature with a specialization in Germanic languages from which she derives, maybe, her obstinacy and aptitude for in-depth study. She loves poetry and scientific research, too. And it is her passion for alchemy that has led her to the “mixology” art and to become a virtuous bartender.

Gioia Dabellani

The power of calm

Her motto: “Good things come to those who wait”

Gioia Dabellani

Her role in ad Mirabilia: Young Account Executive, Gioia deals with media relations, drafting of texts and reports, press reviews, support for the organization of events. Calm and a good dose of irony: this is her winning formula.

Specialization: Very curious and well prepared especially in the areas of e-commerce, textiles and lifestyle, Gioia is always up to date with the latest news. Her work in the agency, which began with a first experience as an intern, allows her to develop her skills and learn, day after day, what it means to implement communication and marketing projects.

Her Strengths: Her skills: Always proposing the right thing to the right journalist: her precision and intuition make it difficult for her to make a mistake. And she’s a real ace in Product Placement.

Something more about Gioia: Born in Cremona, she fell in love with Milan when she was studying at university, graduating in Public and Business Communication. A big fan of music, she tries not to miss concerts, dj sets and all sorts of festivals. She also loves TV series, reading and videogames.

Daniele Lazzoni

The man of numbers

His motto: “Happiness is only real when shared”

Daniele Lazzoni

Her role in ad Mirabilia: Eclectic and tenacious, Daniele is Account Manager. A point of reference for clients in the Tech, Digital and Finance sectors, he is their first strategic consultant and coordinates the team with passion to develop memorable campaigns.

Specialization: An effective strategy must include clear and measurable objectives. Daniele knows it: through web listening and data analysis he looks for relevant insights for the definition and measurement of campaigns. He is particularly involved in the Tech, IT, Tourism and Automotive sectors, where he has a great deal of experience.

His Strengths: Can you recognize a winning idea when you see one?
Daniele has developed a strong critical sense that allows him to choose, among many, the right idea, the one that perfectly meets the customer’s needs and that can be transformed into an effective communication plan.

Something more about Daniele: Passionate about sports, Daniele was born in Massa, between the mountains and the sea of beautiful Tuscany. He graduated in Modern Literature and also has a Master in Business Communication with a specialization in Sharing Economy. He firmly believes in the power of (good) communication and knowledge sharing, which is also why his experiences include teaching Italian to foreigners.

Sofia Roncoroni

The grace of determination

Her motto: “¡Vive ahora!”

Her role in ad Mirabilia: Sofia is a young Account Executive. Her daily tasks include press reviews and reporting, support for the organization of events and media relations, thanks to her natural disposition for relationships. Is that all? Clearly not! Sofia is also good at content creation: like a real gold digger, she always manages to find the right words to make our texts brilliant!

Specialization: She has a green soul, which is why she has chosen to specialize in Environment and Sustainability. In addition, she loves beautiful things and is always up to date with the latest news on Home and Design.

Her strengths:  Don’t be fooled by Sofia’s kindness: behind her amiable smile lies an innate aptitude for precision and organization. No problem for her has an impossible solution, no detail is negligible. The goal? Learn more, do better.

Something more about Sofia: Sofia’s roots are near the Como Lake, but her heart is in Milan: the city has won her since her time at university.
She graduated in Communication Sciences and specializes in Event management. The six months spent studying in Barcelona have ignited in her the passion for travel. She also like reading and writing
